Q: Is there an automated attendance call for when students miss 3, 5, 7, etc. days?

A: There is no automated call for 3, 5, 7, etc. day absences. There is an ANS (Automated Notification System) to create letters. Also, on the Excessive Abs by Factor report there is a communicate button (on the count cell click) that a person could manually send calls and/or emails to everyone with 3, 5 7, etc. days absence. You can review all calls in JCall Reporting orJComm Call Overview reports.


Q: Why is the Gradebook roster showing a different count than the count when the user clicks on the Attendance button?

A: The attendance list is displaying like it is because the teacher has two of the same period classes. This is intended as a time saving feature so that the teacher doesn't have to go to two different sections to take roll.


Q: Can teachers remove/edit an incorrectly checked attendance box? How long before the call goes out to parents? For 1st period; for later periods in the day?

A: Teacher can edit attendance records that they enter for the same day they enter the record and only on the same computer. First period absence calls go out at 9:00 a.m., 10:00 a.m., and 11:00 a.m. All other attendance calls, like Check Outs, go out immediately or as set in Communication Configuration.


Q: Can users run a list of absent students for the day?

A: Daily Absentee List that can be found by going to Attendance -> Lists -> Daily Absentee List.


Q: Can an automated report go to attendance clerks each night that lists students with > 3 absences like principals get (Cumulative Absence Report)?

A: The Cumulative Absence Report can be setup for anyone that you would like to receive it. The modifications can be made by going to System -> Entry -> Communication Configuration -> ANS -> Scheduled.


Q: Can an automated email with Excessive Absence Letters with labels go to attendance clerks each day?

A: Yes, there is an ANS for the Excessive Abs by Factor program to generate letters daily and send them to the designated staff member. The ANS can be setup by going to System -> Entry -> Communication Configuration -> ANS -> Scheduled.


Q: Is there a way for attendance clerks to get a list of students who have missed 3 days in a row?

A: There is a program called Consecutive Absence Report that can be found by going to Attendance -> Lists -> Consecutive Absence Report. Currently, there is not an ANS report.


Q: Which start time field does posting attendance come from ... Calendar or Bell Schedule?

A: For posting in blue "1st" period attendance at the start of the day:

  • Comes from the calendar start time.
For posting in's and out's for days when students are to be physically present:
  • Posts current time if during school hours of start / end times of calendar. If outside school times of calendar, gives warning and makes you update time to within calendar start / end times.
For posting / checking attendance as a teacher:
  • Looks at bell schedule to determine sort order:
If student is supposed to be physically present, will put these students at top of roll.
If student is on a Virtual Day, will put these students at bottom of roll in a light pink color.
For Teacher posting students who are on a Virtual Day according to bell schedule:
  • If posting an out with code of "Virtual Absence" 69 by a Teacher: Will look at bell schedule and mark student out only during class time of bell schedule.
  • If posting with an out code of "Virtual Presence" 70 by a Teacher: Will mark an in and out with same time (similar to Tardy so no class time lost) Used to mark a student as attending the class virtually in some manner.
  • For teachers who are posting through the classroom, the program uses Code 71 U Period Absent: Only code 71 posts for a period, and the other codes behave as they should. Code 71 U Period Absent works just like the "69 U Virtual Absent". The 71 code will work with the class button and posting from the classroom attendance. First period attendance will handle calling users who are absent first period with code 71. This will have a check out for the first period but a check in for the second period.
