How-to for Teachers

Teachers do not have permission to post Suspension information. Teachers can view the administrative decisions related to a student's referral using the following steps.

Method 1

  1. Open Gradebook and select the class in which the student is enrolled.
  2. Select the student by clicking the student's name.
  3. Click the Action button at the top right
  4. Select Stats.
  5. This will give you at least one page per referral through which you may scroll to find the referral in which you are interested. These pages may be printed by clicking the printer icon at the bottom right of the referral detail.

Method 2

  1. Open Gradebook and select the class in which the student is enrolled.
  2. Select the student by clicking the student's name.
  3. Click the iGear icon at the top of the window.
  4. Select Discipline.
  5. A summary of all discipline records will appear.
  6. If necessary use the vertical scroll bar to locate the referral in which you are interested.
  7. Use the horizontal scroll bar to view the information related to administrative action date and action taken.
  8. These pages may be printed by clicking the Print button at the bottom of the referral list.


How-to for Administrators, Counselors and other Staff

  1. Click on Discipline > Discipline Posting > Entry
  2. To find definitions for standard setup values, follow this link: Standard Setup Options.
  3. OK - Click to continue.
  4. On "RefPG1", left mouse click in the "Name" field and select the student from the alpha list that appears.
  5. If this is a bus referral select the check box on the right side of the screen under the student information.
  6. Left mouse click in the staff field and select the staff that reported the discipline incident; use the tabs at the bottom of the staff list to change from TEA to ADM, BUS, SCH, DST.
  7. Select the date and time of the incident. Be sure to select the "CODE" and the "LOC" that best describes the time and location.
  8. Select the Incident(s). Select as many as 4 incidents that best describes the behavior of the student.
  9. Enter any witnesses to the event using the top line of the Witness section to select each witness.
  10. If evidence exists, select it from the dropdown list in the evidence field.
  11. Type the remarks describing the incident. NOTE: Only the top 4 lines of the remarks area will print on the state discipline form.
  12. Click on the "RefPG2" tab at the bottom of the screen.
  13. Select Teacher action(s). NOTE: if action 06 is selected an email will be sent to the school disciplinarian.
  14. Select parent contact method and contact date.
  15. Type teacher remarks and recommendations.
  16. Enter date employee signed the form.
  17. Enter motivation for the behavior from the dropdown list.
  18. Select any victims if applicable (required for bullying incidents).
  19. Using the top line of the perpetrators section enter additional perpetrators if applicable (after saving the record the name of the student on Pg 1 will also be displayed in the perpetrators list on Pg 2). NOTE: By entering additional perpetrators, Pg1 and Pg2 info will be created for all perpetrators when the first student record is saved.
  20. Click on the "Admin" tab at the bottom of the screen.
  21. If the referral results in a suspension, select the "action code" for OSS or code for ISS.
  22. A new window will appear for information related to the suspension days/dates
  23. Indicate whether or not the incident resulted in a Recommended Expulsion according to district discipline policy. Note that this does not send anything to the State. It only triggers a reminder when the user first enters Discipline Posting to show missing Expulsion Hearing information.
  24. Select the number of days and the start date. Click the Calc button and the system will determine the return date.
  25. Enter the incident code. If there is a weapon involved you will have to select the weapon type.
  26. Select up to 3 other actions taken by administrator.
  27. Enter administrative comments.
  28. Enter the date disciplinarian signed the discipline form.
  29. Select administrator entering/signing the form.
  30. Enter additional information related to other agencies involved, level of injury if applicable, or event related to hate/bias, drugs, alcohol, or gangs.
  31. Enter the Minutes Removed. This is not a required field. Minutes removed is commonly used with partial day administrative action codes. The user will select one the partial day codes and enter the number of minutes they will be removed from instruction. Minutes removed is not calculated based on the time range posted for a student discipline record but only on the minutes entered here.
  32. Click on the "Comments" tab at the bottom of the referral page.
  33. Enter comments made by the student and/or the parent.
  34. Enter the date the comments were made.
  35. Enter the student or parent’s name that made the comment.
  36. Save the referral using the Save button at the bottom of the screen.
  37. After saving, a diSuspDays pop up window will appear that will show previous referrals. The Total box will show days suspended and whether the listed referral(s) resulted with a suspension. This is for informational purposes only and there is no need to do anything other than"' out of it.
  38. But, a second box will appear which is the Attendance Conflict Check.
    • If you undo the check by "New" or "X" out of this window, then the attendance will NOT be recorded to show the suspension day(s).
    • If you click OK, the attendance will be recorded to show the suspension day(s).
    • If the suspension days (ISS & OSS) stretch over a weekend, the days will only display for the current week, then over the weekend the nightly cron will audit and then display the suspension days for the following week.

NOTES

  1. For the Letter Louisiana Department of Education School Behavior Report, you must have an OSS or ISS posted before the SIS Primary Infraction/Reason Code can be populated.
  2. Adding a bus referral to an existing suspension referral is allowed as long as the dates don't overlap.
  3. Referrals can have overlapping dates but only for certain codes.
    • Referrals can overlap administrative actions if the admin code translates to state code 002 (OSS) or 003 (Expulsion). These codes can overlap an existing discipline suspension/expulsion record IF the other record is state code 004,005,006 or 007 and the existing record has a start date on or before the new record.
    • Referrals can overlap administrative actions if the admin code translates to state code 004 (ISS) or 005 (In School Expulsion). These codes can overlap an existing discipline suspension/expulsion record IF the other record is state code 002,003,006 or 007. The existing record has to have a start date on or after the new record if code is 002 or 003. Codes 006 and 007 do not matter for dates.
    • Referrals can overlap administrative actions if the admin code translates to state code 006 (ALT Suspension) or 007 (ALT Expulsion). These codes can overlap an existing discipline suspension/expulsion record IF the other record is state code 002,003,004 or 005. The existing record has to have a start date on or after the new record if code is 002 or 003. Codes 004 and 005 do not matter for dates.
