How to

These instructions will explain how teachers are to enter information related to Behavior, Positive Recommendations, and Comments. This will create necessary records for communicating these three areas to parents. Notification of parents will be through report cards and student progress center.


  1. On the left, click on "Grades".
  2. Under the heading "Entry", click on "Gradebook".
  3. At the bottom of the Gradebook, verify the school year and teacher. Choose the course then choose the marking period.


To post comments:

  1. NOTE: At least one grade must be entered on a student before you can post a comment.
  2. Select the Grades menu at the top of the screen.
  3. Select Post Comments.
  4. The screen display will change. There will be a column on the left listing the students in the class. The student IDs and their grade level will also be on this side of the screen.
  5. There are columns labeled C01, C02, ... C12 for entering the various comments for a single student, a group of students, or for the whole class.
  6. The right side of the screen will list available codes with a description for each code. NOTE: On some of theses comments, C stands for check and M stands for minus.
  7. Enter comments based on the following conditions:
    • All students--click the check box found to the left of the comment number. An asterisk will appear beside all student names. Select the code from the list on the right side of the screen. All asterisks will change to the selected code.
    • Small group of students--click in a comment column beside the student's name and an asterisk will appear. Continue clicking on student names that are to receive the same comment. Select the code from the list on the right side of the screen. All asterisks will change to the selected code.
    • Single student--click in a comment column beside the student's name and an asterisk will appear. Select the code from the list on the right side of the screen. The asterisk will change to the selected code.


To post a discipline referral through Gradebook:

  1. Click on the student's name to highlight the student.
  2. Click on the discipline ICON at the top right. There are 4 screens related to discipline posting. Teachers can enter data on screens 1 and 2. Teachers can only view screens 3 and 4 to see what decision was made regarding the consequences of the student's action.
  3. The RefPG1 screen will appear.
  4. Several fields will already include information for this student. Verify and/or enter information in the following fields: Time, Code and Location.
  5. Select up to 4 codes related to the incident by clicking in the code field and making your selection.
  6. NOTE: Selecting a weapon or bullying incident will result in additional pop-up windows requiring additional information about the incident.
  7. If there are any witnesses to the incident select them at this time. Make the selection by clicking the top blank line in the witness area. You are not limited to the number witnesses even though the screen displays a limited number of names.
  8. If there is Evidence related to the event, make the selection in the evidence field.
  9. Type a description of the incident in the Remarks area.
  10. Click the RefPG2 tab at the bottom of the window to move to the next page of the referral.
  11. Enter the Actions that you took as the teacher.
  12. NOTE: if you choose code 06-Referred to Office an email will be sent to the principal and any discipline officer(s) at your school notifying them of the new referral.
  13. Select the type of parent contact and the date.
  14. Enter teacher recommendations and the date.
  15. Enter the motivation(s) for the incident.
  16. If this is a bullying incident, you must select the victim(s) of the incident. If you do not make the victim(s) selection at this time you will not be able to save the record.
  17. If there are additional Perpetrators use the blank line at the top of the Perpetrators list to make the selection. By selecting any additional perpetrators, the RefPG1 and RefPG2 screens will be created for these students when the original student discipline record is saved.
  18. The Admin and Hearings pages are not available for teacher data entry. Teachers can view these screens to view the administrative decisions related to this referral.
  19. Click the X at the top right of the discipline screen to return to the Gradebook.
