This program will allow you to modify when the system makes calls/texts, which calls, and for which schools.

Menu Location

Click on System. Under Entry, select Communication Configuration.


Setup Options

Year - Defaults to the current year. A prior year may be accessed by clicking in the field and making the appropriate selection from the drop down list.

District - Default value is based on your security settings. You will be limited to your district only.

The second set up box illustration below is for the School settings so select a school in the Show Options For School field. If the settings have not been saved for a school, that school will use the district defaults set up for school 700.

Call Time Options

Start and Stop Time (Mon-Fri) - Select the start time for the calls to go out and select the stop time for calls to end.

Start and Stop Time (Saturday) - Select the start time for the calls to go out and select the stop time for calls to end.

Start and Stop Time (Sunday) - Select the start time for the calls to go out and select the stop time for calls to end.


Automated Call Option'

Use School Name - Check the box to use the school's name in the message being sent.

First Period Attendance Time Option

Run Time 1 - 6 - Select attendance calls to go out.


Grade Call Options

Failing Grades Run Time - This sets the hours of the day at which the Failing Grades program will create failing grades calls. Depending on the grouped call settings, this might not be the time the calls are actually sent.

Include X in Failing Grades - Select this option to generate failing grades calls for X grades.

Send Unsent Grades Calls - Select this option to send grades calls that have not been sent since the last calling period.


Late to School Begin Call Time

Start Time (Mon-Sun) - Enter the time that new late to school posted will begin creating calls. Anything posted before this time will be ignored. If left blank, late to school calls will always be created.


New Assignment Call Time

  1. A separate call start time can be set for students who arrive late to school. This option can be found under Late To School Begin Call Time (only available for district default setup). A start time is all that is needed as the system will follow the stop time found under Call Time Options.
  2. A separate call start time can be set for new assignments created by teachers. This option can be found under New Assignment Call Time. A start time is all that is needed as the system will follow the stop time found under Call Time Options.
  3. In the Grades Call Options area (Only available for district default setup):
    • The times that failing grade calls go out to parents can be set in the Failing Grades Run Time field.
    • Check the box next to Include X in Failing Grades if the district would like to include X grades as a failing grade call.
    • Check the box next to Send Unsent Grades Calls to send out all grades calls that were unsent on the next instructional day.
  4. Group Call Options will allow for different types of calls to be grouped together so that a parent will not receive multiple phone calls throughout the day.
    • Enter the codes of the call types, separated by commas (AT, DI, GR), to group together in the field labeled Grouped Call Types.
    • Select the days that group calls will go out in the Grouped Call Days to Run. NOTE: If a day of the week is selected, all selected call types to be grouped are saved and sent out on the day of the week selected. (i.e. Monday is selected. All selected call types (AT, DI, GR) to be grouped will be stored since the previous Monday and sent out on the upcoming Monday).
    • Apply a start time for Monday - Friday, Saturday, and Sunday in the Start Time () fields. The system will follow the stop time found under Call Time Options.
  5. Caller ID By Arena - Enter the number for a parent to call back for each call type in the Caller ID By Arena. If a number is not entered, the school`s number will be the call back number. This is only for phone calls and not SMS text messaging.
  6. Do Call will allow the user to select which schools receive attendance (AT), discipline (DI), and grades (GR) calls.
    • Included Schools for AT Calls. If no schools are listed, then all schools will receive attendance calls. If schools are listed, then the ones listed will receive the calls and the ones not listed will not receive calls.
    • Included Schools for DI Calls. If no schools are listed, then all schools will receive discipline calls. If schools are listed, then the ones listed will receive the calls and the ones not listed will not receive calls.
    • Included Schools for GR Calls. If no schools are listed, then all schools will receive grades calls. If schools are listed, then the ones listed will receive the calls and the ones not listed will not receive calls.
    • Failing Grades Run Time will allow the user to select the hour or hours, in military time, to send out the failing grades calls. If this field is blank, the calls will be made every hour.
    • Include X in Failing Grades: If selected, when a teacher enters a X grade in their grade book, a failing grades call will be generated
  7. Do Not Call lets you choose selected call types to not send to all schools and also lets you choose to not send calls to students at selected schools.
    • Excluded Call Types - Enter the call type codes, separated by commas, to not send certain call types to students and parents at all schools in the parish. NOTE: The next blank, "Excluded Schools", has no effect on this field.
    • Excluded Schools (Only available for district default setup) - Enter the school site codes to exclude schools from sending any calls of any kind to students and parents. This means that for any schools entered here, students and parents will not receive any calls no matter what. NOTE: The blank above, "Excluded Call Types", has no effect on this field.
  8. Click the Save button at the bottom of the screen.
  9. Click the Reset button to remove school specific setting and reset the school to using the district default settings.
