NON EXEMPT EXCUSED

Code 'N' in the JPAMS code table are not considered in the students attendance calculations. They are transmitted to DOE which we disagree with. Any code N can be an administrative override decision as well as a site based data collection decision. Instead of having one code to cover all circumstances, a series of codes are provided to generate more statistical detail such as codes 6, 7, 10, 17, 16, 36, 38, 39 46, and 53.

Note that posting a code 05 sets the student up as unexcused. When a doctor excuse is brought or an official parental contact is made, then the posting of excuses procedure will produce an override to the original 05 code. All transactions are kept within the original posting. The check out, check in and excuse information are retained within the record. The software will always consider the last transactions coding producing an override.

Note that each record will print on the progress report and report card with proper switch settings. The code 05 definition 'parent note needed' will serve as a reminder to the parent base to submit an excuse to the school site.

It is our recommendation that no separate code be established for 'non exempt excused' but instead use the JPAMS distributed codes for non exempt excused and use code 51 be implemented as ' non exempt unexcused' override to the original excused transaction.


EXEMPTED EXCUSED ABSENCES

In prior meetings discussion was focused on the consideration of doctors excuses code 2. It was decided that only doctors notes 'verified' should be posted using code 2. Item B , page 27 of the 741 manual stated that parental notes should not be consideded in truancy calculations. It is coded with a 'D' in the JPAMS list.

Students that are absent but under school control are distributed between codes 47, 45, 44, 42, 40, 37, 34, 31, 11, 04 and 03 for better statistical data accumulation. A code 'P' is a part of this selection.

Districts normally choose to skip codes P, N and D when calculating student absentees. Originally we designed SIS transmissions to exclude these but got overrode by DOE.

We recommend that our cliehnts use the JPAMS codes for the excused coding at the transaction level and use code 50 as an unexcused administrative override.


OTHER CODING

The JPAMS 'E' code is excused and can make up work while the 'U' unexcused code cannot. Both codes are considered for the full and half day attendance calculations and are transmitted to DOE.

There are trend analysis for each code and the codes with an * at the end of each description are used in pandemic tracking and student health statistics.
