Attendance Summary Report

These instructions will show you how to generate an attendance summary report for your school.

  1. Select Attendance from program area on the left of the screen.
  2. Select Lists.
  3. Under Lists, select Attendance Summary Report.
  4. The Setup Box will appear on the screen.


Setup Box Option

  • Verify Year, District, and School. These default values are based on your security settings.
  • Select Grade. Leave the Grade field blank if all grade levels are to be included. Otherwise click in the box to the right of “Grade” to select the desired grade level(s) to be included.
  • Click the check box for Active Only. If you leave this box unchecked, students that have exited your school will be listed on the report.
  • Enter the From Date using either the month/day/year fields or the calendar icon to the right of the year field.
  • Enter the To Date using either the month/day/year fields or the calendar icon to the right of the year field.
  • Select Skip Codes. These are non-attendance codes that you do not want to be considered for the report. Be sure to select all numeric codes for the same alpha code. For example, if you select 03 P to be skipped then you must also select 04, 11, 34, 37, 40, 42, 45, and 47.
  • If your school is using Teams, you can limit this summary to one or more teams. Make your selection similar to select more than one grade, gender, etc.
  • Enter the Minimum Absences.
  • Enter the Page Break type: None, School, Homeroom, Grade, or Advisor.
  • Select to Show: All, Sped Only, Non sped.
  • Select Clubs. Leave the Clubs field blank if all clubs are to be included. Otherwise click in the box to the right of Clubs to select the desired club(s) to be included.
  • Select Sports. Leave the Sports field blank if all sports are to be included. Otherwise click in the box to the right of Sports to select the desired sport(s) to be included.
  • Select Programs. Leave the Programs field blank if all programs are to be included. Otherwise click in the box to the right of Programs to select the desired program(s) to be included.
  • Select Special Codes. Leave the Special Codes field blank if all special codes are to be included. Otherwise click in the box to the right of special codes to select the desired special code(s) to be included.
  • Click the check box to Show Remote Only.
    • If your school does NOT offer any remote classes, this feature does not apply.
    • As a school that offers remote classes, by checking this box the list of students will be those from other schools in your district that attend classes on your campus. Students from your school will not be on the list if this box is checked.
  • Click Ok to move to the next screen.


Definitions of Column Headers

  1. The following columns are self-explanatory:
    • School
    • Sped
    • Homeroom
    • Sidno
    • Grade
    • Advisor
  2. Definitions of remaining columns
    • F--Count of Full days absent (51% of the day)
    • H--Count of Half days absent (26% of the day)
    • O--Count of times absent that does not meet the definition of either full or half day (less than half day absent) will show in the Other column
    • S--Count of days absent because of disciplinary suspension
    • E--Count of excused absences
    • ND--Count of days absent due to extenuating (N) circumstances and doctor excuses (D)
    • OP--Count of days using other (O) reasons or present (P).
    • Days Present--Total days present.


Print

  1. To print this report click the print button at the bottom of the screen. A popup will appear with a set of document print options--PDF, XLS, CSV, HTML. Click the print button on this popup and a print preview window will appear.
  2. To get the print icon on this window, hover the mouse in the bottom right area of the preview. A grey rectangle will appear with several icons. Click the print icon at the right end of this rectangle. Another print preview will appear; click the print button at the top left to print the report. Close the print preview.
