The purpose of the "Part Number" is for two possible situations:

  • The student needs to retake the first semester of a full credit course but can only be scheduled into a second semester time slot. This course would need the part number of 1 to be entered into the transcript record.
  • If the student takes the second semester of a full credit course but can only be scheduled into a first semester time slot, then a 2 would be entered in the transcript record.

Getting Started

  1. Select Transcripts from the list of program areas on the left of the screen.
  2. Under Entry select Transcript Workstation.
  3. Select a student’s transcript using the Find button.

Entering Part Number for Half Credit Courses Earned of a Full Credit Course

  1. Locate the course that needs the part number entered and click the S (save) cell at the far right of the row.
  2. A new window will pop up on the screen with information related to credit pursued, credit earned, credit site, etc.
  3. The Part No field is on the right of the credit earned (CE) field. Enter the semester number (1 or 2) in which the course is usually taken.
    • If the student is taking the class in semester 1, then the part number would be entered on the S1 line.
  4. Click the Save button

NOTE: If a student receives a letter grade of “P”, it is excluded from the GPA calculation. Zero quality points are awarded, however, the credit earned for the course is counted toward the credit required for meeting a core category.

An “F” will also receive zero quality points and zero credit will be earned, however, the course will be counted in the number of courses taken. Keep in mind that a “P” is given for a proficiency examination and is not an actual course taken, and “P” grades cannot have part numbers because of this reason
