These instructions are for displaying and/or printing student counts in the Master Schedule by Grade, by Teacher, and/or by Ethnic/Gender.

Getting Started

  1. Select Scheduling from the list of program areas on the left of the screen.
  2. Select Count; then, select Master Schedule by Grade/Teacher

Setup Options

  1. Verify Year, District, and School. These default values are based on your security settings.
  2. Grade--Leave the Grade field blank if all grade levels are to be included. Otherwise click in the box to the right of Grade to select the desired grade level(s) to be included.
  3. Teacher--This will restrict the display to the courses taught by a single teacher or a group of teachers. Click in the field and a list of teachers will be displayed. Click the check box to the left of the teacher's name(s)for whom student counts are needed. To select all teachers click the check box to the left of Value at the top of the teacher list or leave the field blank. Uncheck the box to the left of Value to include the counts for all teachers or leave the field blank.
  4. Active Only--Use this option to restrict counts based on student enrollment date.
  5. As-of-Date--This represents enrollment date for students. It usually defaults to the current date.
  6. Master Schedule Grades--The grade associated with the course(s) in the Master Schedule. This may or may not be the same grade as the students being counted.
  7. Semester--The semester for which counts are needed. Select the value from the drop down list.
  8. Class Period--The class period in which the course(s) is(are) taught. To include all class periods, select the check box to the left of the blank line at the top of the list or select the check box to the left of Value at the top of the list.
  9. Scheduled Only--Unchecked includes ALL courses from the Master Schedule. Checked includes only those classes that have at least one student scheduled to courses
  10. Output Order--Options are Teacher or Course. The order can be changed once the report is displayed on the screen.
  11. Print Teacher's SSN--Option to include the teachers' social security numbers. The default setting is to NOT include the SSN on the report.
  12. Click OK to move to the next screen.
  13. Screen will display Count by Grade.

Tab Display Options

At the bottom of the report are tabs to change the view of the report.

  1. Count by Grade can be changed to count by Teacher or by Eth/Gen by clicking on the Tabs at the bottom of the window.
  2. To print this report click the print button at the bottom of the screen. A popup will appear with a set of document print options--PDF, XLS, CSV, HTML. Click the print button on this popup and a print preview window will appear.
  3. To get the print icon on this window, hover the mouse in the bottom right of the preview. A grey rectangle will appear with several icons. Click the print icon at the right end of this rectangle. Another print preview will appear; click the print button at the top left to print the report. Close the print preview.

Definition of Column Headings--Count by Grade

  1. Teacher--Teacher Name
  2. Course--Course Name
  3. Period--Class period
  4. Section--Section number of the course
  5. Room--Room number
  6. Total--Total count of students scheduled in the course. If you click on the count, the list of students will be displayed on the screen.
  7. -1, 00, 01, 02,..., 12--Grade levels of the students.If you click on the count, the list of students will be displayed on the screen.
  8. og--Count of non-matching student grades and course grades for this section.If you click on the count, the list of students will be displayed on the screen.
  9. Teacher SSN--Social Security Number of the teacher.
  10. State Code--State course code.
  11. School--School where the course is being taught.
  12. District--District where the course is being taught.

Definition of Column Headings--Count by Teacher

  1. Teacher--Teacher Name
  2. Total--Total number of students enrolled in the course. If you click on the count, the list of students will be displayed on the screen.
  3. S1, S2, S3, S4--Total number of students per semester for each teacher. If you click on the count, the list of students will be displayed on the screen.
  4. District--District where the course is being taught.
  5. School--School where the course is being taught.

  1. Teacher--Teacher Name
  2. Course--Course Name
  3. Period--Class period
  4. Section--Section number of the course
  5. Room--Room number
  6. Total--Total count of students scheduled in the course. If you click on the count, the list of students will be displayed on the screen.
  7. Columns F0, F1, ..., F5--Counts of females by ethnicity. If you click on the count, the list of students will be displayed on the screen.
  8. Columns M0, M1, ..., M5--Counts of males by ethnicity. If you click on the count, the list of students will be displayed on the screen.
  9. Column TF--Total females in the class. If you click on the count, the list of students will be displayed on the screen.
  10. Column TM--Total males in the class. If you click on the count, the list of students will be displayed on the screen.
  11. Teacher SSN--Social Security Number of the teacher.
  12. State Code--State course code.
  13. School--School where the course is being taught.
  14. District--District where the course is being taught
